How to Arrange Home Care: A Step-by-Step Guide

Arranging care for the first time is mostly a sequencing problem: people do the hard steps in the wrong order and get stuck. Here is the order that works, from the first phone call to the first carer through the door.

Step 1 — Write down what is actually going wrong

Before contacting anyone, spend ten minutes listing the specific failures: missed medication, meals not eaten, a fall in the bathroom, three nights of no sleep. Concrete detail gets you a useful conversation with a GP, a council or a provider. 'Mum's not coping' does not.

Step 2 — Check funding in parallel, not first

Ask the council for a needs assessment and check Attendance Allowance eligibility, but do not wait for the outcome before arranging care if the situation is urgent. Funding routes can be applied retrospectively in some cases; a crisis cannot be undone. Our funding guide covers the main routes.

Step 3 — Shortlist two or three providers and check CQC

Every regulated home care provider in England has a published CQC report. Read the actual report rather than only the headline rating, and check the date. Ours is published in full on our CQC report page.

    • Are they CQC-registered for the care you need?
    • How recent is the inspection?
    • Do they cover your postcode reliably, not just theoretically?
    • Is there a minimum contract, setup fee or exit fee?
    • Who answers the phone out of hours?

Step 4 — Get a home visit and a written quote

A quote given over the phone without seeing the house is a guess. Insist on a visit and an itemised written quote. See what our care needs assessment involves.

Step 5 — Start small and review at two weeks

The most common mistake is buying too much care on day one. Start with the calls that solve the immediate risk, then review after a fortnight when everyone knows what is actually needed. With no minimum contract, scaling up or down costs nothing but a phone call.

    Frequently asked questions

    How quickly can care start?

It depends on carer availability in your area and the complexity of the package. We'll give you a realistic date rather than an optimistic one — call 01784 740078.

Do I have to sign a long contract?

No. There is no minimum contract length and no setup fee; you can stop with one week's notice.

    Should I involve the GP?

Yes, especially where there has been a fall, sudden confusion or weight loss — those often have a treatable medical cause that care alone won't fix.

What if my relative refuses help?

Start with the least intrusive support — company or meals — with a consistent carer, and build from there. Forcing personal care first is usually what causes refusal to harden.

Can I arrange care from another part of the country?

Yes. Many of the families we deal with live elsewhere and organise everything by phone and email; we keep you updated in writing.
